Who sees what on mobile

Sitedrive Mobile shows each person the work that concerns them, so crews aren’t buried in the whole schedule. What you see depends on four things: your role, your teams, the tasks assigned to you and the work packages you own.

This article explains the rules, and what a supervisor needs to set up in the web app so that work appears for a crew.

The four things that decide what you see

InputWhere it is set
RoleSchedule settings > Users. See Roles and what each one can do.
TeamSchedule settings > Teams. Crew leaders count as team members. See Teams and people.
AssigneeThe people assigned to a task in the web app.
OwnerThe Owner of a work package in Gantt. Owning a work package also covers all the work packages under it.

Which tabs you get

  • Report users get My next work, My late work and All work.
  • Accept and higher also get Schedule and Issues.

My next work and My late work

Schedule, Site and Account admin users see all work here.

Everyone else sees a work package when at least one of these is true:

  • You are assigned to at least one of its tasks.
  • One of its tasks belongs to your team, and not every task on it has an assignee yet.
  • You own the work package, or a work package above it.

The second rule matters most for crews. A work package stays visible to the whole team until every task on it has an assignee. After that, only the assignees and owners see it.

Example: Wet Room Waterproofing on Staircase B, Floor 3 has two tasks for the Plumbing & HVAC team. While neither task is assigned, the whole team sees it. When the supervisor assigns one task to Anna, the whole team still sees it. When both tasks are assigned to Anna, only Anna sees it.

This applies to Refine and Refine (ltd) users too.

All work

Schedule, Site and Account admin users see all work packages.

Everyone else sees only the work packages they can update, which means:

  • every task on the work package belongs to one of your teams or is assigned to you, or
  • you own the work package or a work package above it.

If none match, the tab says “The schedule does not contain any work packages assigned to your teams.”

Schedule tab

The Schedule tab shows all work in the loaded period. Work packages you can’t update are dimmed and can’t be opened.

Issues tab

The Issues tab lists open blockers and issues you can update. Admin roles see all of them. Others see those on their team’s, assigned or owned work. Accept users also see the ones they created.

Make work appear for a crew

A supervisor with Refine rights or higher does this in the web app. Setting the team or assignee on work they don’t own needs Schedule or Site rights.

  1. Invite the person to the site with the right role. See Teams and people.
  2. Add them to a team as a member or crew leader.
  3. In the schedule, set the team on the tasks, assign the person, or make them the work package owner.
  4. Ask them to pull down the list in Sitedrive Mobile to refresh it.

Good to know

  • The message “You are not part of any team” appears for anyone who isn’t in a team, even if tasks are assigned to them directly. The simplest fix is to add the person to a team.
  • If a work package disappears from a teammate’s list, check whether all its tasks now have assignees.
  • Sites in the planning phase can’t be opened on mobile, because sites that are not in production can’t take status updates. See Installing Sitedrive Mobile and signing in.
